Keep UPC leading zeros when editing an Excel manifest

Prevent spreadsheet conversion from damaging product identifiers before market research and eBay draft exports.

Treat a UPC as an identifier

You calculate with quantities and prices; you match products with identifiers. A product code beginning with zero should not be treated as an ordinary number. Keep an untouched supplier file so you can recover an identifier if a spreadsheet edit changes it.

As an illustrative example, an identifier shown as 001234 becomes a different string when saved as 1234. This short example is not a valid UPC; it shows the kind of change to look for.

Control the column type during import

Microsoft documents importing through Data → From Text/CSV and treating identifier columns as text. The important step is choosing the correct type before numeric conversion strips characters. Exact controls vary by Excel version.

For new inventory data, format the identifier column as text before entering or pasting codes. Keep quantity and price columns numeric. Do not turn the whole workbook into text just to protect one column.

Verify the saved file, not just its appearance

A custom display format can make a number look padded without restoring the original identifier in an exported file. Save a copy, reopen it with controlled import settings and compare several codes with the original manifest or product packaging.

If digits are already missing, recover the code from a trustworthy source. Blindly adding zeros until the length looks right can create a plausible but incorrect identifier. Check the exact product variant too.

Check the analyzer preview before research

Upload the corrected file and inspect the identifiers shown for the products. A missing match may reflect bad source data, but a valid-looking UPC still does not establish condition or included accessories.

Keep the same identifier through review, CSV export and physical inventory reconciliation. This makes it easier to trace a listing or label back to the product you researched.
